Assistant Service and Citizenship Coordinator (9-12) - temporary/interim full time

This is a temporary/interim full-time position for the second semester of the 2019-20 academic year while completing the hiring process for an Academy Assistant Principal.

Basic Functions and Scope:

The Assistant Coordinator, under the guidance of the Service and Citizenship Coordinator and supervision of the Academy Principal, monitors, records, and communicates information regarding academy student attendance. The Assistant Coordinator seeks to create connections with students by understanding their attendance patterns, needs, and potential concerns.

Additionally, the Assistant Coordinator performs a variety of clerical duties to assist the Service and Citizenship Coordinator or Academy main office including answering student and parent inquiries, delivering messages, or general office services for the faculty.

Essential Duties:

  • Responsible for monitoring the daily attendance via skyward of all Academy students grades 9-12, including absences and tardies.

  • Follow-up student morning absences with confirmation and phone calls to parents/guardians.

  • Monitor late arrival of buses in the morning and record excused tardies in Skyward for student passengers.

  • Respond to the attendance phone calls and check phone messages to keep accurate records of excused absences and/or other inquiries.

  • Prepare morning student late-arrival attendance sheets for faculty assigned to the front and side gates and verifies entries in skyward for block 1 of each day.

  • Confirm receipt of late-arrival attendance sheets from faculty assigned to the morning duties, alerting the Academy Principal of vacancies within the duty schedule.

  • Monitor student absences and tardies from individual classes during the day and create skyward attendance reports to identify patterns or discrepancies.

  • Refer students with unexcused absences to the Service and Citizenship Coordinator.

  •  Enter data into skyward for excused absences related to school activities such as field trips, athletic events, or other co-curricular activities.

  • Receive and deliver messages to students from parents, faculty, or administrators as needed.

  • Issue early dismissal passes to students who need to leave early from school (after checking with parents).

  • Manage the collection and claiming of “lost and found” items.

  • Assist with collection of students’ locks from their lockers at the end of the school year, confirming the condition of each locker so that the students may receive the return of their deposit.

  • Fulfill training to become proficient and compliant with the GDPR legislation as related to the position of Assistant Coordinator.

  • Work closely with the Service and Citizenship Coordinator in the collection, maintenance, and organization of absentee data in compliance with the GDPR legislation to identify patterns of behavior.

  • Other duties as assigned by the Supervisor.

Hours: 8:00 - 4:30 (M-F)


  • Post-secondary education, qualification, or degree;
  • Two years of relevant work experience, ideally in a school setting;
  • Fluent in oral and written English and Greek;
  • Outstanding communication skills;
  • Excellent computer skills in Microsoft Office Suite;
  • Familiarity with the GDPR legal framework as is related to schools;
  • Knowledge of Secondary School Systems;
  • High professionalism, dependability and confidentiality.
